Caddie master assigns loops of Mr. Bartels and Mr. Turco to caddie Tom Jones.
At this point, both of the members in Tom Jones loop have approved payment. So, the loop is closed. Immediately and at the same time, Circuit pays Tom Jones from Circuit’s cash account in Stripe, and Circuit also initiates withdrawals from Mr. Bartels’ and Mr. Turco’s payment methods.
Tom Jones receives an immediate email confirmation that the loop is closed, and the payment is processing. Tom receives the money in his bank account within 48 hours.
The club only needs a list of all of the emails of all of the members in order to onboard users into Circuit. If they are in a spreadsheet, they can easily be copied and pasted into the “Add User” area of the application. At that point, an email invitation is sent from the Head Pro or Caddie Master to each email address via Circuit.app.
From the member’s perspective, they will receive an email from Circuit.app that says they have been invited to use Circuit to pay for caddies at your club by your Head Pro. When they click on this secured link, they will be asked to fill in their name, create a password for the website and create a digital pin for the Digital Chit (We suggest their member number to make it easy on them.)
Then, they will be directed into Stripe to enter their payment information. Ideally, they will enter both ACH and credit card information into Stripe. The ACH is far less expensive to process payments but requires some leg work, but the credit card is far easier to enter, is ready to use immediately but is more expensive to process payments.
ACH: After the member enters their bank account information, Stripe will send two micro deposits into that bank account. When the member receives the two micro deposits within two working days into their bank account, they must go back into their Stripe account through their Circuit account in order to confirm and validate that bank account for payments.

Then, they will be directed into Stripe to enter their bank account and/ or debit card information where they would like to receive payment. For the caddies, they do not have to go through the micro deposit process because Stripe will not be pulling any money from that account, only giving it money.
The first payment process through Circuit for a caddie will take anywhere between 2-7 days. After that process is complete, caddies receive the money in their account within 48 hours.
Circuit Caddie recommends a ready, set & go approach to onboarding. Once the decision has been made to give members the availability to utilize Circuit Caddie to pay caddies at the club, the organizer at the club will need to spend about 30 minutes on a telephone call with a customer service representative of Circuit Caddie to get the club set up in the database. At this time, the organizer will choose the terms and conditions that each caddie must accept prior to each round and the questions in the member satisfaction survey that each member will receive post every round.
Once the organization is set up, the club needs to decide on a launch date. About a week ahead of the launch date, the organizer should send a specific email to all golfers specifically announcing the Digital Chit, Circuit Caddie and the idea of cashless caddie payments. The email will announce the official launch date and should include links to Circuit’s website, links to Stripe payment processing information, links to some of the outstanding lawsuits out there surrounding clubs and caddie programs, and even links to a few of the IRS guidelines. This email would also explain the workflow in detail.
A few days before the official launch date, the club should send a reminder that the official launch date is only a few days away.
The day of the launch date, the club should send an official reminder right after the invitation has been sent telling the members to look in their junk and spam folders for an email invitation from Circuit.app.
For the caddies, simply instruct the caddies to bring their bank account or debit card information with them on their first day. Signing up a caddie when they have their bank information takes less than 5 minutes. If they do not have their bank account or debit card information, they can still use Circuit Caddie for the loop. Unfortunately for the caddie, the money will be waiting for them in their Stripe account until they enter the bank account or debit card information where they would like Stripe to send their money.
